Operations Manager – 1 position

The successful candidate must have significant experience in the DMC, both as a Tour Consultant and Manager, You must be an entrepreneurial personality who is keen to grow a business from the ground up, and have a proven ability to think on their feet, offer creative solutions and have experience at the upper end of the market. A strong contracting record with tourism suppliers in the region and intimate knowledge of market related margins and selling rates would be essential in Kenya, but broader regional experience to Tanzania, Uganda or Rwanda would be useful.

Duties and Responsibilities:

  • Full financial responsibility : from budget to delivery of DMC P&L.
  • Sales and Marketing input, along with an established international team to grow international sales via trade and consumer channels.
  • Looking creatively at the destination and our product offering in order to clearly and tangibly differentiate our product from competitors in the market place.
  • Contracting all suppliers, and creating, growing and maintaining supplier relationships.
  • Margin / price setting, and liaison with international offices as well as all clients on sell rates.
  • Overall responsibility for managing proposal generation, analysis of business segments and focusing resources accordingly.
  • Full operational delivery on the ground for all clients to a very high standard.
  • Manage an initially small (but growing) team of around 8 Tour Consultants, 2 accountants, 17 vehicles and drivers across both Kenya and Tanzania.

Qualifications, Skills and Experience:

  • Bachelors degree in Business Administration or above in relevant field.
  • Must have DMC/ Tour Operating experience in Kenya and countries including Tanzania, Uganda and Rwanda.
  • Proven management experience of small to mid-size team in tour operations.
  • Must be a good communicator and motivator – the staff, clients and suppliers.
  • Proven commercial experience around running a business and both setting and delivering on ambitious targets.
  • Experience with DMC reservations software systems is needed – Tour plan experience a plus.
  • Experience in the MICE market a plus.

Duties and Responsibilities:

  • Develop and Manage the department’s strategy to maximize revenue and profitable growth.
  • Develop a Strong and Resilient Sales Team.
  • Develop a strong customer service focus.
  • Lead the sales & marketing team to deliver outstanding results
  • Market the company portfolio through high voltage online marketing and presence as well as through traditional channels.
  • Maximize Conversion by engaging strong selling techniques.
  • Ensure prompt and effective response to all leads and enquiries.
  • Coordinate with suppliers for special deals and packages.
  • Identify new markets and business opportunities.
  • Act as a contact between a company and its existing and potential customers.

  • Degree in Marketing, tours and travel or hospitality from a recognized institution.
  • Demonstrable Experience in Sales and Marketing within the tours and travel industry.
  • Practical online marketing knowledge is preferred.
  • Strong Knowledge of Industry Trends and Product Developments.
  • Good interpersonal and demonstrable communication skills with a key focus on Hoteliers and Overseas Suppliers alike.
  • Be goal oriented,  focused and a go-getter.
  • Exceptionally high integrity, honesty and excellent time management skills within flexible working hours routines.
  • Client Relationship Management Skills.

Transport Manager – 1 position

The incumbent will be based in Nairobi, Kenya.

Duties and Responsibilities:

  • In charge of the day to day operations of the transport department.
  • Preparing driver’s daily movement Charts with duty allocation.
  • Responsible for all drivers routing, tracking and monitor their daily movements.
  • Maintaining accurate administrative records.
  • Making sure that all Company vehicles are properly maintained and serviced.
  • Schedule branding of all vehicles and with reference to the management.
  • Ensure that all vehicle accidents are well documented.
  • Ensure adequate supplies are provided to drivers as per the company’s requirements.
  • Ensure safety and security procedures are followed as per the company’s guidelines.
  • Brief the hired driver on Company’s rules and regulations and the Company’s performance expectation from him.
  • Ensure compliance in all transport legislation requirements.
  • Identifying operational issues, potential problems and opportunities.

Qualifications, Skills and Experience:

  • Minimum of at least 3 years’ experience in transport industry, preferably in the Tour industry.
  • Able to operate effectively in a high volume service driven transport operation.
  • Possessing a good understanding of all relevant legal compliance and fleet controls.
  • Experience of vehicle leasing budgets and financial controls.
  • Knowledgeable in all process compliance areas including; Legislative, Productivity, Quality and Service.
  • Full understanding of transport operational systems.
  • Excellent Computer skills.
  • Ability to effectively supervise others.
  • Able to multiple relationships at different levels.
  • Strong communication and analytical skills.

Travel Consultants (Sales) – 2 positions

Duties and Responsibilities:

  • Planning and selling trips:
  1. Prioritize guest inquiries, understand guest interest and advise them.
  2. Customize trips based on guest interests using our internal travel application, Travel Maker.
  3. Managing guest information efficiently.
  • Ensure excellent guest feedback by smart itinerary creation and strong fit with guest interests.
  • Capture and enter key information from guests into our CRM to enable smart marketing, repeat bookings and growing customer lifetime value.
  • Contribute ideas for promotions, mailers, guest outreach, templates, website, etc in order to grow sales.
  • Meet profit and sales targets; Plan and sell transportation, accommodations, insurance and other travel services.
  • Answer telephone calls & enquiries Cooperate with clients to determine their needs and advise them appropriate destination, modes of transportation, travel dates, costs and accommodations.
  • Provide relevant information; brochures and publications (guides, local customs, maps, regulations, events etc) to travelers Manage reservations; Book transportation, make hotel reservations and collect payment/fees
  • Marketing; Use promotional techniques and prepare promotional materials to sell itinerary tour packages.
  • Customer service; Deal with occurring travel problems, complaints or refunds.
  • Record keeping; Enter data into our software and maintain client files.
  • Accounting; Maintain statistical and financial records including M-pesa.
  • Office Administration: Perform daily office duties including; proper filling and ensure responsible use of all office equipment.
  • Networking; build and expand your professional network with tour operators Personal development; Attend travel seminars to remain updated with tourism trends.

Qualifications, Skills and Experience:

  • Strong enthusiasm for sales.
  • Excellent written and verbal communication skills in English.
  • Minimum 4 years sales/client advisory or customer service experience Minimum 2 year work experience in an international business environment.
  • Diploma in Tours and Travel Management (IATA) from a recognized Institution.
  • Knowledge in using Gelileo and/or Amadeus.
  • Cultural openness and ability to interact with and connect to people from diverse background.
  • Extensive own travel experience in Europe and North America.

Customer Support & Reservations – 1 position

The incumbent will be based in Nairobi, Kenya.

Duties and Responsibilities:

  • Execute new, amended and cancelled bookings to all hotels and service providers.
  • Prepare accurate passenger rooming and name lists to hotels and service providers and manage last minute requests for bookings and numerous general enquiries from the sales department.
  • Ensure all hotels/suppliers have the necessary welcome notes and information for incoming passengers prior to arrival.
  • Create good relationships with our active suppliers in East Africa.
  • Action the regional emergency phone for all passenger and field emergency issues.
  • Training with new supplier on any system updates.
  • Co ordinate with the Operations Manager and Tour Consultants on booking information and changes.
  • Develop and achieve other duties and projects as required by the Operations Manager and from the sales and marketing team including Tour Consultants.

Qualifications, Skills and Experience:

  • Required 2+ years in a similar role in Tourism Industry demonstrated with sound references.
  • Superior problem solving skills and ability to prioritize workload.
  • Proven time management skills and quick turn around.
  • Extensive Customer Service experience dealing with travelers.
  • Knowledge of the East African tourism market, product and operations preferred.
  • Charismatic with ability to motivate others.
  • Highly developed communication skills (verbal and written).
  • Ability to manage a crisis and take responsibility for the safety of others.
  • Customer service oriented with solid teamwork abilities.
  • Strong office administration and organizational skills with attention to detail.
  • Ability to work recognizing the demands of deadlines and schedules.
  • Strong computer skills, especially in Microsoft Excel, Powerpoint / Keynote and written communication.

Tour Guides – 6 positions

Tour Guides are responsible for helping travelers to visit unfamiliar places. They usually make special trips with groups of tourists in order to show them adventurous destinations. Their role is very useful for travelers who are for the first time in some unique attractions, because these professionals are very knowledgeable and provide valuable information.

Qualifications, Skills and Experience:

  • Diploma /Certificate in Tour Guiding techniques from a recognized institution.
  • Must be a paid up member of KPSGA Bronze/ Silver.
  • Must possess a valid Tourism license from Tourism Regulatory Authority TRA.
  • Must have a clean driving license with not less than 6 years driving experience.
  • Must have a valid certificate of good conduct.
  • Outstanding knowledge of Flora & Fauna.
  • Deep understanding of History of East Africa with special emphasis in Kenya.
  • Must be a good conservationist with a lot of passion on nature.
  • Should have been a PSV holder for more than 4 years.
  • Good character, motivated, hardworking and results oriented.
  • Must have proven skills in guiding photographic Safaris.
  • Excellent Communicator in both verbal and written English.
  • Must be an ardent team player with resilient organizational skills and ability to keep strict deadlines.
  • Intense attention to detail with accuracy and consistency.
  • Ability to build effective relationships with a wide range of people.
  • Good knowledge of National parks/ Reserves and all the touristic sectors.
  • Foreign languages; German, Spanish, Italian or French is an added advantage.
  • Transferring clients to and from the respective destinations.
  • Taking good care of company vehicles and report vehicles’ defects both mechanical and physical.
  • Report to work in time and at least 30 minutes before picking time.
  • Being flexible, proactive, enthusiastic, friendly and possess good presentation skills.
